EBIXCASH World Money is a market leader in retail foreign exchange services, operating across 69 cities in India with a strong presence at 29 international airports and 12 seaports. With over 145 branches, 95 airport kiosks, and 250+ franchise partners, the company has served more than 20 million customers since its inception in 1998. Known for its robust compliance, risk controls, and tech-enabled operations, EBIXCASH handles a foreign exchange turnover exceeding USD 5 billion – powered by a workforce of 3,000 employees and a commitment to continuous innovation.

The Opportunity

Onboarding vendors is a critical, high-stakes workflow in any regulated financial platform and for our client, it was also one of the most time-consuming. Built with compliance in mind, the process spanned multiple stages, data-heavy forms, and multi-role approvals. But this complexity came at a cost: testing the workflow was slow, repetitive, and highly manual, creating friction with every release cycle.

The challenges we uncovered included:

  • 20–25 minutes to manually create a single vendor request
  • 5 sequential approvals, each involving different user roles and login sessions
  • 75–100 minutes per complete onboarding test cycle
  • Limited test coverage, especially for role-switching and edge-case validation

With growing vendor volumes and faster deployment expectations, the client needed a scalable, automation-first approach to testing – one that could handle complexity without slowing down the release pipeline.

The Approach

To transform vendor onboarding from a manual bottleneck to a high-speed, high-confidence workflow, we built a robust, automation-first QA framework tailored to complex, role-based approval systems. Our approach combined Cypress-based UI automation, dynamic test data, and CI/CD integration to mimic real-world user behavior across multiple roles. The goal was to reduce cycle time, eliminate human error, and increase test reliability for every release.

Our automation strategy included:

  • End-to-End Form Automation
    Simulated all four onboarding stages – vendor information, compliance checks, financial data, and documentation – complete with validation logic.
  • Multi-User Role Automation
    Created modular Cypress commands to handle seamless login and workflow execution across five distinct user roles in the approval chain.
  • Session Caching for Efficiency
    Minimized redundant authentications by caching login sessions, speeding up role transitions and reducing test run time.
  • Dynamic Test Data with Faker.js
    Generated high-quality, randomized company details (e.g., tax IDs, addresses) to ensure realistic and repeatable test scenarios.
  • CI/CD Integration for Daily Runs
    Embedded into the release pipeline for continuous testing, enabling daily regressions and safer, faster go-lives.

The Impact

Automating the multi-step vendor onboarding and approval workflow brought dramatic improvements in efficiency, accuracy, and release velocity. What was once a high-effort manual QA process is now a fully automated, scalable system that supports fast, confident deployments across the Forex platform.

Vendor creation time dropped from 25 minutes to just 2–3 minutes, with each role-based approval completing in under 2 minutes. The complete end-to-end test cycle was reduced from 90+ minutes to just 12 – achieving over 90% time savings. Automated input validation eliminated human error, while coverage expanded to include high-risk, multi-role workflows.

Daily CI/CD-integrated regression testing ensures every release is verified in real-time, freeing QA teams to focus on exploratory and edge-case testing. This automation framework not only reduced release risk and testing overhead, but also improved platform reliability, accelerated go-to-market timelines, and future-proofed the onboarding process for scale and compliance.
