About the Customer

Trucklink Logistics Pvt. Ltd. is an India-based logistics company operating a fleet of trucks and material hubs across multiple cities. They manage scheduled deliveries and regional dispatch operations for warehouse clients and supply chain partners. As business scaled, operational inefficiencies tied to paper records and uncoordinated systems became increasingly costly and complex.

The Opportunity

As Trucklink scaled its logistics network across hubs, its offline, spreadsheet-driven processes quickly became a roadblock. Day-to-day operations like truck onboarding, dispatch creation, and financial tracking were managed manually – causing inefficiencies, data inconsistencies, and a lack of traceability across locations. With growing complexity and multiple users involved, a digital overhaul became essential to sustain operations and support future growth.

Key operational gaps included:

  • Lack of centralized visibility for dispatch, accounting, and hub-level activity
  • Manual processes for truck onboarding, challan generation, and payment logs
  • Redundant data entries and frequent mismatches in transfer records
  • No audit trails or user-level tracking to ensure accountability

Trucklink needed a secure, scalable admin dashboard that could bring all hubs under one digital roof – simplifying workflows, enabling real-time access control, and eliminating operational blind spots.

The Approach

To modernize Trucklink’s logistics operations, we developed a cloud-based, modular admin dashboard tailored to their real-world workflows. The platform was designed for scale, enabling seamless coordination across multiple hubs with secure, role-based access. It centralized core logistics processes—from truck onboarding and dispatch generation to financial reconciliation and activity tracking—delivering real-time visibility and control.

Key modules of the platform included:

  • Authentication & Hub Access
Enabled secure, role-based login with hub-specific environments to localize actions and ensure centralized data sync.
  • Onboarding Module
Digitized truck owner, vehicle, and material registration with editable fields and support for multi-location transfer records.
  • Dispatch & Receiving Workflow
Automated the creation, editing, and acknowledgment of dispatch challans, with full delivery tracking and real-time status updates.
  • Accounting Module
Managed daily advances, vouchers, and auto-generated invoices—linked directly to corresponding dispatch activities for full traceability.
  • Activity Logs & Reporting Dashboard
Offered complete audit trails and real-time dashboards to monitor hub performance, vehicle usage, and financial flow.

The system was developed using agile sprints with weekly client demos, deployed securely on DigitalOcean with SSL and backup protocols, and delivered with full documentation and team training for smooth adoption.

The Impact

This transformation wasn’t just about going digital – it was about building a scalable, resilient logistics backbone for Trucklink. By eliminating manual friction and unifying operations across hubs, the new system empowered teams to work faster, smarter, and with full operational visibility.

The cloud-based admin dashboard digitized the entire workflow from truck onboarding to dispatch generation, financial tracking, and delivery acknowledgment – turning previously manual processes into structured, real-time operations.

Workloads dropped by over 75% for dispatch and onboarding teams, while digital slot tracking and challan automation eliminated missed deliveries. With real-time dashboards now in place, managers can monitor performance across hubs and make data-driven decisions at speed.

The platform also introduced secure, role-based access, centralized audit logs, and built-in scalability – ensuring Trucklink can expand to new hubs and regions without disruption or added complexity.
